Terms and Conditions

1. Bookings & Payments

  • All places must be booked in advance via our official booking system or as instructed.

  • Full payment is required to secure your child’s place. We cannot reserve unpaid places.

  • We reserve the right to cancel bookings if payment is not received by the deadline.

  • Bookings are non-transferable between children or between different camp/club dates unless agreed in writing.

2. Cancellations & Refunds

  • Cancellations made more than 7 days before the start of the club or camp may be eligible for a refund (minus admin fees, if applicable).

  • Cancellations made less than 7 days prior to the start date are non-refundable.

  • Refunds will not be issued for missed sessions due to illness, holidays, or other absences.

  • In the rare event that we need to cancel a session (e.g. due to staff illness, school closure, or weather), a full refund or credit will be offered.

3. Arrival & Collection

  • Only authorised adults listed on the booking form may collect your child.

  • Please notify us in advance if someone else is collecting your child.

4. Child Safety & Behavior

  • We operate a positive behavior policy and expect all children to follow staff instructions, show kindness and respect, and take part safely.

  • Any behaviour that puts others at risk may result in removal from the session.

  • If your child has any additional needs, medical conditions, or allergies, you must inform us at the time of booking.

5. First Aid & Medication

  • Staff are trained in pediatric first aid and will treat minor injuries appropriately.

  • Parents/carers will be notified of any accidents or incidents during collection or via phone if urgent.

  • We are unable to administer medication unless previously agreed and accompanied by written permission.

6. Food & Allergies

  • Half Term Camps are strictly NUT FREE. Please do not pack any food items containing nuts.

  • Parents/carers are responsible for ensuring that packed lunches and snacks are suitable and safe for their child.

  • Please inform us of any allergies, dietary requirements, or medical needs when completing the booking form.

7. Photography & Social Media

  • Occasionally, we take photographs or videos for use on our website and social media.

  • If you do not want your child to appear in any photos or videos, please clearly indicate this in the “Anything We Should Know” box on the booking form.

8. Personal Belongings

  • Please ensure all items are clearly labelled.

9. Safeguarding

  • We are committed to safeguarding all children in our care and follow strict policies in line with local authority guidance.

10. Children with additional needs SEN

  • We welcome children with additional needs and aim to be as inclusive as possible. If 1:1 or extra support is required, additional staffing may be needed at an extra cost. Please share any needs at the time of booking. While we will do our best to accommodate, support may not always be available.

11. Changes to Terms

  • These terms and conditions may be updated periodically. The latest version will always be available upon request or on our website.
